Accounts Payable Coordinator

SUMMARY:
Provides primary support to the Director of Finance in the areas of month-end close, Accounts Receivable, payroll, income and inventory reconciliation, bank reconciliations, and various reports.
Some of the Essential Functions:
§ Performs month end close functions including journal entry preparation, system report generation, income and inventory reconciliations, and preparation of financial reports
§ Maintains accounts receivable system in Blackbaud; generates invoices, receives checks, and prepares bank deposits. Reconciles cash receipts with Development department Raiser’s Edge system entries and posts to General Ledger. Holds and manages Petty Cash
§ Manages all aspects the processing of bi-weekly payroll using MasterLink software
§ Responsible for insuring the accuracy of payroll deductions, tax deposits, 401(k) contributions, and postings to the general ledger
§ Reviews and reconciles monthly invoices related to payroll and employee benefits and insurance
§ Supervises Accounts Payable Coordinator, including prioritization of duties, establishing goals, and performance reviews
§ Supervisory duties will include training, coaching, employee development, and performance reviews of direct reports
§ Assists with bank courier pickup as needed; orders change for ticketing and retail operations when requested; documents daily deposits and prepares journal entry
§ Assists Director of Finance and Director of Human Resources as needed for special projects
§ Reconciles specified bank accounts
§ Occasionally drives own vehicle to payroll service vendor, bank or other local businesses
§ Other duties as assigned by supervisor
ESSENTIAL REQUIREMENTS:
§ Minimum of five years general accounting experience
§ Exceptional internal customer service skills and initiative; ability to work well with all levels within the organization; excellent verbal and written English communication skills
§ Strong computer skills and abilities (Microsoft Office Suite)
§ Able to function independently, with accuracy, self-motivated
§ Able to maintain a high level of confidentiality
§ Able to prioritize, meet deadlines with accuracy, detail-oriented organizational skills
§ Able to sit for two-hour intervals for a minimum of 7-1/2 hours per day, able to operate a computer and telephone, able to operate a ten-key by touch
§ Availability to occasionally work additional hours (before or after scheduled hours or on week-ends or public holidays)
§ Strong interest and/or desire to learn more about COPIA.
§ Valid California driver’s license and minimum auto liability insurance coverage
PREFERENCES:
§ Have a valid Notary Public license or take necessary test to become a Notary Public
§ Supervisory and/or management experience
